Measure the work, not just the room count
List the rooms and connecting spaces you want included. Add approximate dimensions when possible, and identify stairs, landings and closets separately. State whether the request is for exposed carpet around furniture or includes areas currently covered by movable items.

Explain the carpet's condition
Describe the main concern in ordinary terms: tracked-in soil, a particular spill, a recurring mark or an odor. Tell the estimator what you know about its history, including products already used on the affected area. Keep carpet manufacturer information or care instructions available if you have them.
Photographs help communicate location and appearance. Have an overall view and a closer view of the affected area ready to discuss during follow-up. A photograph cannot establish every cause or guarantee what cleaning will achieve.
Ask which concerns are included in general cleaning and which require a separate assessment. Keep cleaning expectations separate from repairing a burn, a tear or another existing defect.

Prepare without making assumptions
Before the appointment, confirm what you should move and whether pre-vacuuming is your responsibility. Set aside fragile personal items and tell the cleaner about furniture that cannot be moved. Explain any constraints on building entry or parking without sending door codes through a general inquiry form.
For an occupied home or workplace, discuss which spaces need to remain accessible. Ask how the cleaning will affect movement between rooms and when the agreed areas should be ready for the work.
Ask about drying and return to use
Request instructions for the cleaning method and conditions at your property. Discuss ventilation, walking on the carpet and replacing furniture. Do not schedule an event or move furniture back solely on the basis of a generic drying-time advertisement.
Keep the carpet manufacturer's care guidance with your project notes. If warranty requirements matter to you, ask the cleaner to explain the proposed method and provide the documentation you need before the work is approved.
